TRIP/ACTIVITY REQUEST FORM
Recap
  • CAP (Cultural Arts Passport) and ELOP (Extended Learning Opportunities [Enrichment] Program) funding is from the state’s Extended Learning Opportunities Program, hence the reason why field trips and any experiences (performances, workshops, events and other activities) must extend past 3:30 PM and should be going until 5:00-5:30 PM.
  • Field trips do not have to start at 8:30 AM. It can begin later in the school hours like after lunch and then start your return from the venue around 4:30 - 5:00 PM.

CAP funding amount for Poly
$175,000

Deadlines
  • All booked trips/activities must be experienced by end of fiscal year June 30, 2025.
  • Deadline to request for a field trip to a non pre-approved site is September 30, 2024. See list of approved sites on the button at bottom of the page.
  • Deadline to book all field trips for the rest of school year is January 10, 2025.

Stipulations
  • CAP rules this year requires that it must be spent only on the arts. We were able to go to sports events and have cultural experiences but they no longer qualify for CAP funding (there’s a separate fund for that - click here).
  • The arts disciplines are as follows: music, dance, theater, visual arts (drawing, ceramics), and media arts (film, photography, digital imaging).
  • Trips going out of state or require overnight stay no longer qualify for this funding.

What CAP pays for
  • Teacher OT hours - approx. $100 per hour after contractual hours. Includes planning and preparation, chaperoning.
  • Meals (only for trips taking place on the weekends) can be paid for but only in advance (no reimbursements of any type will be available).
  • Tickets and admission costs to the venue.
  • Bus transportation - avoid traveling during peak school pick up and drop off times due to limited availability of busses. Charter busses may be available but preference is to choose LAUSD bus first.

Field trip process

Estimated processing time: 1-3 months
  1. Complete this form to submit ideas and requests for funds. You must choose from the list of approved CAP sites.
  2. Your CAP Champions Amy Lui or Aris Biegler will reply asking for further details and confirmation, then contacting the venue and vendors on your behalf.
  3. CAP Champions will request from you the list of students and chaperones going on the trip. Required district ratio is 1 chaperone per 10 students. Due to heavy requirements of parents and non school employees to apply for Tier II Volunteer status, it will be easier to ask another teacher or TAs and classified staff to chaperone the event with you. All school employees will be paid for chaperoning and the substitute teachers' coverage will be taken care of.
  4. Once your CAP Champions have submitted the iFieldtrip portal application for your trip, they will update you on the status (signatures from principal, nurse, risk management, region superintendent, etc) and take care of the payment needed.
